This policy explains how Xclusive Events ("we", "us") collects, uses and protects the personal information of clients and enquirers, in line with the Protection of Personal Information Act 4 of 2013 (POPIA).

What we collect
We only collect what we need to quote for, plan and style your event, such as:
- your name, cellphone number and email address (WhatsApp shares your number with us when you message us)
- event details: the date, venue, guest count, colours, flowers and any photos or inspiration you send
- the names of the couple or host, where they appear on stationery, signage or seating plans we prepare
- delivery and setup arrangements, and contact details for your venue or planner
- quotes, invoices and payment records
Why we use it
- to reply to your enquiry and prepare a quote
- to plan, source, deliver, set up and style your event
- to prepare stationery, signage and seating plans you ask for
- to manage payments and keep the records the law requires
We do not sell, rent or trade personal information, and we will not add you to a marketing list unless you ask us to.
Who we share it with
We only share information when we need to: with your venue or planner to arrange access and setup, with suppliers and printers where needed for your order, or when the law requires it. WhatsApp and Facebook (Meta) and Google (Gmail) carry our messages under their own privacy policies.
Photos of events
We like to share photos of the flowers and décor we create on Facebook and on this website. We focus on the tables and flowers, not on guests. Stationery or signage in a photo may show a name. If you would rather we did not share photos of your event, or want a photo removed, tell us and we will take it down as soon as we can.
This website, cookies and third parties
This website has no accounts and no database. It does not set cookies and does not use analytics or advertising trackers. The enquiry form does not send anything to us or store anything: it only opens WhatsApp on your device with your message filled in, and nothing is sent unless you press send in WhatsApp yourself. The WhatsApp, phone and email links work the same way.
To load the website, your browser fetches files from these providers, which may record your IP address and browser details in their standard server logs:
- GitHub Pages, which hosts this website
- Google Fonts, which supplies the typefaces
- jsDelivr and cdnjs, which supply the icons and animation code
How long we keep it
We keep enquiry and event details for as long as we need them to deliver your event and answer questions afterwards. Financial records are kept for as long as tax law requires, usually five years, and then deleted.
How we protect it
We take reasonable steps to keep information safe, including keeping it on password-protected devices and accounts and only sharing it when needed.
Your rights
Under POPIA you may:
- ask what personal information we hold about you
- ask us to correct or delete it
- object to us using it, or withdraw consent you have given

We may update this policy from time to time. The date at the top shows when it last changed.
